Quick start guide for employees
Welcome to Timetastic! This guide covers everything you need to get started in 6 simple steps.
- By the end of step 3: you'll know how to track your annual allowance and understand your new wallchart ✅
- By the end of step 6: you'll have booked time off, connected your Calendar and have access to Timetastic on your mobile 👍
Each step only takes a few minutes at most, so you'll be up to speed in no time.

Let's get started..
1. Set a password
The first step is triggered when your manager creates your user profile in Timetastic. When they do you'll get a welcome email like this one below:
Click 'View your new calendar', and it'll fire up Timetastic in your web browser and you'll be able to create a password.
Please create a strong password, and don't share it with anyone, it's yours and yours only.
Once you've saved your password, you'll land straight onto your new Wallchart.
2. Get familiar with the Wallchart
Think of the Wallchart as your online version of the old fashioned wall planner. From here you can plan and book time off. The visibility helps planning, you can avoid any clashes with people you work alongside.
You appear at the top of the list and your annual allowance for the current leave year shows against your profile. Use the left and right navigation to scroll forward and back, through the months of the year.
You can see your department and quickly check when your colleagues are off and if there are any clashes.
3. Get to know your Calendar
You can see your Calendar by clicking 'Calendar' in top right.
It shows all of your bookings for the year, and a summary of all your time off on the right hand side.
Here's what it looks like once you've booked some time off.
The summary on the right hand side outlines how much annual leave you have taken and what's remaining, as well as the total of all non-deductible leave.
4. Book a day off
Now to the fun part - booking your holiday!
To book a day off either click the relevant a day on your Calendar or Wallchart, or click the big blue button on the Wallchart.
Fill out the booking form with the type of leave and dates of your choice.
You can also click and drag across a range of days if you want say a week off. Booking it this way will bring up a pre-populated form to check through.
The request is sent to your approver, who'll either approve or decline your booking and you'll receive an email to confirm the (hopefully positive!) outcome.
5. Connect your calendar
Next we want to get your bookings to show in your regular calendar app. Most people use one of the common ones; Outlook, Google calendar, Apple etc.
You've got few different options, depending on how you want to connect and what you want to see:
Calendar integrations
If you use Google Calendar, Outlook.com or Outlook365 (not Microsoft exchange sorry) then you've got the option of a direct calendar sync.

Calendar feeds
Not using Outlook or Google? Want the rest of your department or organisation fed into your calendar? No sweat, calendar feeds are your friend.
You can feed directly into any calendar that supports iCal/ webcal.
6. Download the mobile app
There's something really satisfying about booking holiday from your phone. Give it a whirl.
There are apps for both Android and iPhone from the app stores.
