Bulk Import
Adding employees in bulk can be done as an Excel upload. There's no limit to the number you can import and this proves the quickest way if you have a large team - we have a dedicated article with all the details on importing here.
Individual employee
To add an employee:
Head to 'HR' from the main menu
Select 'Employees'
Click on the 'Add employee' button
Only the 'First name', 'Last name' and 'Primary location' are mandatory. The rest is optional.

Setting up your employee
First name: Required
Last name: Required
Email: This will be needed to invite your employee to Rota & Time Clock
Employee number: Optional unique identifier
Street address and date of birth: Optional
Phone number: Optional
Start of employment: Optional but will be needed to allocate shifts based on seniority.
Locations, Roles and Positions
Primary Location: Required
Select the primary location for the employee. If there's more than one, you can add others below.
Roles
Select the type of role for your employee. Our guide here explains how the roles and permissions work in Rota & Time Clock.
Positions
Select the primary position of the employee. If there are more than one, you can add others below. Here's how to create new positions if needed.
Permissions
You can set whether the employee will only see their own rota or the full rota for their colleagues.
Hourly rate
If an employee has more than one position, you're able to enter their hourly rate per position.
Job site
If you've created a job site using the Resources feature, you'll be able to select a job site for the employee.
Once you're happy with the employee's settings, click 'Save'.
You can update the employee's details at anytime if needed.
