Understanding user roles

Differences between an administrator, manager, supervisor and employee

This guide explains what each role can do, who they can manage and how access works throughout Rota & Time Clock.


What are the roles and how to they work

Rota & Time Clock has four main roles:

  • Administrator

  • Manager

  • Supervisor

  • Employee

Each role comes with a different level of access, allowing you to control who can see and manage different parts of the system.

With the exception of administrators, who automatically have access to everything, employees can have different roles in different locations if needed.

Please note that administrators do not have access to employees' private conversations in the Messenger.


Notifications

Notifications are sent to a person's immediate manager within the role hierarchy.

Custom roles

You can also create custom roles and tailor permissions to suit your organisation via Settings > Permission management


Changing an employee's role

You can update a user's role at any time by going to:

HR > Employees > Select employee > Roles & positions


Administrator

Administrators have full access to the entire account.

They can:

  • Create and manage locations

  • Add employees and assign roles

  • Manage organisation settings

  • Export payroll data

  • Access billing and subscription information

  • View invoices

  • Manage all areas of Rota & Time Clock

Administrators automatically have access to every location within the organisation.


Manager

Managers can do almost everything an administrator can, but with a few restrictions.

Managers can:

  • Manage employees

  • Create rotas

  • Approve requests

  • Manage attendance and payroll

  • View labour costs and hourly rates

Managers cannot:

  • Access billing

  • Access organisation settings

Their access can be limited to specific locations if required and the role customisation feature can also be used to restrict payroll information.

šŸ’” Managers do not receive billing invoices, making this a useful role for senior staff who don't need access to account administration.


Supervisor

Supervisors are designed for team leaders and department managers who oversee day-to-day operations.

They can:

  • Manage rotas for their teams

  • Approve requests

  • Monitor attendance

  • Manage employees within their assigned areas

Supervisors cannot:

  • View hourly rates

  • Approve their own time entries

  • Create fixed clock-in terminals

Supervisor access can be limited by both location and position.

For example, a supervisor could be responsible only for sales associates at a particular branch.

When creating a supervisor, you'll be asked to select which positions they supervise.


Employee

Employees have access to their own information but cannot manage other users.

They can:

  • View their rota

  • Clock in and out

  • Request time off

  • Set availability

  • Use Messenger

  • Comment on shifts

  • Manage their notification preferences

Employees cannot:

  • View pay rates, salaries, or wages

  • Access management features

  • Edit other employees' information


Troubleshooting

If you can't see a feature you were expecting, here's a few things to check:

Check your role

Some features are only available to certain roles. If you're unsure, ask an administrator to review your permission.

Make sure you've joined the organisation

If you've recently been invited, check that you've accepted the invitation and completed the setup process. Ask your manager to resend the invite if you've not received it.
