Positions and sub-positions

How to manage your positions and create sub-positions

Positions and sub-positions help you organise your rota and provide additional information about the shifts your employees work.


Positions

A position typically represents an employee's job role, such as:

  • Manager

  • Chef

  • Nurse

  • Cashier

Positions are assigned to employee profiles and can be used to organise and filter your rota.

Sub-Positions

Sub-positions provide additional detail about a shift. Examples include:

  • Ward 1

  • Reception

  • Stock Room

Unlike positions, sub-positions are assigned to individual shifts rather than employees. They allow you to distinguish between different types of work or perhaps a specific location within the same role.

It is important to note that sub-positions do not appear in reports.


Managing positions

You can create or edit positions and sub-postions via the Rota or the organization's settings.

To create, edit, or manage positions via the rota:

1. Click the 'Create' button from the top of your 'Rota'

2. Select 'Position'

A panel will open on the right-hand side of the rota, allowing you to create and manage both positions and sub-positions.

Via the organization's settings:

  1. Click on 'Settings'

  2. click on 'Positions'


Creating a position

1. Click 'Add a position'

2. Enter a name for the position.

3. Select a colour by clicking the coloured circle.

4. Click Save.

Creating a sub-position

1. Click 'Add a position'

2. Select 'Sub-position'

3. Enter a name

4. Change the colour if preferred

5. Select the position it will be associated with

6. Click 'Save'

Important: Sub-positions are primarily intended to provide additional information about rota shifts. Please note:

  • Sub-positions cannot be associated with time entries.

  • They can't have their own hourly rates.

  • They're are available in shift-based reports but are not treated as separate positions for payroll or time tracking purposes.


Editing or Deleting Positions

You can always edit or archive postions by clicking on the pencil icon next to the position you want to edit or archive:


Displaying employees by position

You can group employees by position using the Rota filters.

To do this:

  1. Open the rota filters

  2. Expand 'Display'

  3. Select 'Group by Position'


Who can manage positions?

Only:

  • Administrators

  • Managers with access to all locations

can create, edit, or delete positions and sub-positions.


Assigning a sub-position to a shift

When creating or editing a shift, you'll have the option to select a sub-position:

This allows you to provide additional context about the work being carried out without creating extra employee roles.
