Exploring Rota & Time Clock

New to Rota & Time Clock? Here's a quick tour that covers the main features you'll use to schedule employees shifts, track attendance, manage time off, communicate with your team and manage your employee's records.

We’ll walk you through the different sections of Rota & Time Clock to help you get familiar with how everything works.


1. Home

The dashboard gives you an overview of your day-to-day operations, helping you stay on top of important information and upcoming actions.


2. Rota

The Rota is where you'll create and manage employee schedules, view staffing levels, and monitor labour costs.

The Requests section also allows you to manage:

  • Employee availability

  • Shift transfer requests

  • Open shifts


3. Time off

Manage employee leave, holiday allowances, and time off requests all in one place.

Here you can:

  • Plan future leave

  • Approve or decline requests

  • Track employee's leave balances


4. Attendance

The Attendance section helps you manage employee timesheets and attendance records. You can:

  • Review and edit timesheets

  • Manage time banks

  • Export payroll information

  • Configure fixed clock-in terminals


5. HR

The HR area contains employee-related tools, including:

  • Employees – Manage employee profiles and employment details

  • High Fives – Recognise and celebrate employee achievements

  • Surveys – Gather feedback from your team


6. Documents

Share important documents with employees and request completed documents or electronic signatures when needed.


7. Messenger

Messenger allows you to communicate directly with employees through private messages or group conversations in real time.


8. News feed

The News feed is designed for company-wide communications. You can use it to:

  • Share announcements

  • Publish updates and policies

  • Track who's read important posts


9. Reports

Generate reports on scheduled hours, attendance, employee data, resources, and more. Reports can be filtered by:

  • Employee

  • Position

  • Location

  • Date range

making it easy to find exactly the information you need.


10. Resources

Resources help you manage workplaces, job sites, equipment and other assets that can be assigned to shifts.

This feature is particularly useful for organisations with employees working across multiple locations. It also supports location-based clocking through the mobile app.


11. Billing

The Billing section allows administrators to:

  • Manage the subscription

  • View invoices

  • Update billing details

  • Manage payment information


12. Settings

The settings let administrators customise how Rota & Time Clock works for your organisation.
