Clocking rounding and automatic time adjustments

Use of rounding and automation of clocking times

Rota & Time Clock includes two features that can help simplify attendance management:

  • Rounding – rounds clock-in and clock-out times to the nearest interval you choose.

  • Automatic time adjustments – adjusts clock-ins and clock-outs back to the scheduled shift times when employees arrive slightly early or leave slightly late.

This guide explains how both features work and how to set them up.


How rounding works

Rounding automatically adjusts clock-in and clock-out times to the nearest interval that you specify.

For example, if you've set a 5-minute rounding:

  • Employee clocks in at 8:02am → recorded as 8:00am

  • Employee clocks out at 4:03pm → recorded as 4:05pm

If you've set 15-minute rounding:

  • Employee clocks in at 8:08am → recorded as 8:15am

  • Employee clocks out at 4:03pm → recorded as 4:00pm

Note: Breaks are not rounded.

Viewing actual clocking times

Even when rounding is enabled, you can still see the employee's original clock-in and clock-out times.

Simply:

  1. Open the time entry

  2. Select the Log tab

The log will show the exact times recorded by the employee.

When does rounding apply?

Rounding only applies to entries that have been clocked in and out by employees.

It does not apply to:

  • Manually created time entries

  • Manually edited time entries

  • Automatically generated time entries

Setting up rounding

To set the rounding feature:

  1. Go to Settings

  2. Select Attendance from the sub menu

  3. Under Automation toggle on 'Rounding rules'

  4. Enter a rounding interval (for example, 5, 10 or 15 minutes).

  5. Click 'Save'.

You can also choose whether to use:

  • A custom tolerance, or

  • The default tolerance of half the rounding interval.


How automatic adjustments work

Automatic time adjustments allow you to automatically align clocking times with scheduled shift times.

This can be useful when employees regularly clock in a few minutes early or clock out a few minutes late.

There are two separate options:

  • Adjust clock-ins before the scheduled shift start

  • Adjust clock-outs after the scheduled shift end

You can switch on either option separately or use both.

Shift start adjustments

This setting adjusts early arrivals back to the scheduled shift start time.

Example

Scheduled shift:

8:00am – 4:00pm

Adjustment window:

15 minutes

Result:

  • Clock in at 7:50am → adjusted to 8:00am

  • Clock in at 7:58am → adjusted to 8:00am

  • Clock in at 7:30am → no adjustment

  • Clock in at 8:03am → no adjustment (unless rounding is also enabled)

Only clock-ins that fall within the adjustment window are changed.

Shift end adjustments

This setting adjusts late departures back to the scheduled shift end time.

Example

Scheduled shift:

8:00am – 4:00pm

Adjustment window:

15 minutes

Result:

  • Clock out at 4:05pm → adjusted to 4:00pm

  • Clock out at 4:12pm → adjusted to 4:00pm

  • Clock out at 4:30pm → no adjustment

  • Clock out at 3:55pm → no adjustment (unless rounding is also enabled)

Only clock-outs that fall within the adjustment window are adjusted.

Conditions for automatic adjustments

For automatic adjustments to work:

  • The employee must clock in and out themselves

  • The shift must already exist on the rota

  • The rota must be published before the shift begins

Automatic adjustments do not apply to:

  • Manually created time entries

  • Manually edited time entries

  • Automatically generated entries

Setting up automatic time adjustments

To enable automatic adjustments:

  1. Go to Settings

  2. Select Attendance from the sub menu

  3. Under Automation toggle on 'Time entry adjustments'

  4. Enter the adjustment time window (eg. 15 minutes)

  5. Click 'Save'.

Once switched on, clock-ins and clock-outs will be automatically adjusted based on your custom settings.


Rounding vs automatic adjustments

Although they sound similar, the setting work differently:

Moves clocking times back to the scheduled shift start or end time when they're within a defined window.

Organisations often use both features together to keep attendance records consistent while still allowing a little flexibility around shift start and finish times.
