Keeping the rota and timesheets in sync

What is synched between the rota and the timesheets? Why don't my shifts appear in the timesheets?

It's important to understand how the Rota and Attendance sections work together, as they don't always update each other automatically.

The key thing to know

The Rota shows planned shifts and leave.

The Attendance section shows what actually happened, including clock-ins, clock-outs and timesheet records.

Because of this:

  • Changes made in the rota won't automatically change an employee's timesheet.

  • Changes made in a timesheet won't update the rota.

Think of the Rota as the plan and the timesheet as the reality.


Publishing the Rota

Only published shifts appear in the Rota column of employee timesheets.

Employees can also only see shifts that have been published.

So if a shift isn't showing where you expect it to, make sure the Rota has been published.


Updating past shifts

If you edit a shift in the rota after the date has passed, the Rota column in the timesheet will update to reflect the new scheduled hours.

However, the employee's actual time entries will not change automatically.

If you need to correct worked hours for a past date, you'll need to update the timesheet directly.


Scheduling leave

When you add leave in the rota, you can choose how many hours should be paid for that leave.

The leave won't appear in the timesheet straight away. The leave entry is created automatically after the scheduled leave dates have passed.

If you later need to change leave that has already happened, you'll need to update the leave entry in the timesheet rather than editing it in the rota.


Auto-clocked shifts

You can set up shifts that automatically transfer into timesheets without employees needing to clock in or out.

These shifts are added to the timesheet automatically after the scheduled shift has finished.

Just like leave, editing an auto-clocked shift in the past won't update the timesheet automatically. Any corrections will need to be made directly in the timesheet.


Can I use the rota to correct past timesheets?

Changes made to past dates in the rota do not automatically update timesheets.

If you need to correct worked hours, leave, or attendance records for a past date, you'll need to make those changes directly in the employee's timesheet.
