Resources are particularly useful for organisations with mobile workforces, such as those in construction, home care, event management, or cleaning services.
They allow you to create and manage work locations, job sites, or client premises, so employees always know where they're scheduled to work.
Once a resource has been created, it can be assigned directly to shifts in the rota. Employees can then see the location of their shifts and clock in and out at the specific site.
Creating a resource
Simply head to 'Resources' from your main menu, then click the 'Create' button on the top right of the page.
Enter a name, and if needed a number or reference.
The 'Exclusive' setting can be toggled on if you need to prevent the resource being added to more than one shift at the same time.
There's also the option to add a description.
Resources can be allocated as either a job site or as equipment:
Job sites let you add an address on Google maps that show employees the location. It also lets the employee clock in on the geofenced site.
The equipment type lets you manage assets (eg: vehicles) and assign them to the relevant employees.
If needed, you can enter scheduling goals.
These are not visible to your employees however they're shown in the resources reports, which helps you can track whether the resource has reached it's objective.
Assigning a resource
Allocating a resource to a shift is simple. From the Rota page, add a new shift to an employee as usual. Under the Resources option, click 'Add' and select from your list - you can add multiple resources if needed.
Once the shift has been added, the resources will show in at the bottom of the shift:
Attendance and clocking
When viewing your employee's timesheet, the resource(s) will be shown alongside their clocked hours.
For more information on employees clocking their time, please see our guide here.
