Auto-assigning shifts in your Rota

This guide shows how to auto-assign shifts in your Rota

Creating your own rota schedule can sometimes feel like an impossible puzzle...but here's how Rota & Time Clock can do the hard work for you!


1. Create your rota template

First, create a rota template with all the shifts you need to allocate.

Simply add all the shifts in the 'Open shifts' section at the top of your Rota.

You can also use existing rota templates.

Important: For the auto-assign feature to work, your shifts must not be published. Recurring shifts also can't be assigned.


2. Start auto-assignment

Once you've added all your open shifts, you can start the auto-assign process by clicking on 'Assign', then 'Start assignment'.

Next, select your preferences as shown in the list below:

1. Do not assign shifts during periods of unavailability

This prevents shifts from being assigned to employees who are aren't available to work (based on the availability set in their profile). Any shifts that can't be assigned will remain as open shifts.

2. Do not create overtime

Prevents shifts from being assigned if it creates overtime for an employee's day or week.

3. Prioritise seniority

Shifts are allocated to employees based on their length of service, using their employment start date (or profile creation date if no start date is set).

If this option isn't selected, shifts will be distributed as evenly as possible among the various available employees.

Click the 'Assign' button to continue and watch Rota & Time Clock do the rest for you! 🎉

🕐 The assignment process may take up to 1 minute

Note: You can use position filters before assignment. So you could assign all the shifts for a position with certain criteria, then go through the same process for another position with different criteria.


3. Viewing auto-assigned shifts

Shifts that have been allocated via auto-assignment will have a lightening symbol in the top right-hand corner:

This helps you easily spot them and make any manual adjustments if needed.


4. Restore schedule

If the auto-assignment process hasn't gone as you'd hoped and you'd like to reset and start over again, here's the steps:

  1. Click the 'Assign' button

  2. Select 'Restore schedule' from the drop down.

Important: This process will reset all the rota shifts prior to your auto-assignment.

You can filter by position if you'd like to reset the shifts of certain positions rather than all.


Tip: Don't forget to publish your Rota when you've finished!
