Why can't I use a shift template for my employee?

If you can't see or use a shift template for your employees, here's what could be the cause.

Need to use a shift template for your employee, but you can't access it? This article will explain why and how to fix it.

Please note that only an administrator or manager of all locations can create shift templates.

1. Position set against shift template missing from employee profile

If you try to assign a shift template to an employee but you don't see it, it's possible that the position set against the template is not assigned to the employee.

You will only see the templates associated with the positions the employee has in their profile.

If you enter the template name in the search bar and no results appear, this means that the employee does not have the position in their profile.

To update this, go to the user's individual profile by heading to HR > Employees > Roles & Positions and check their positions.

You can then add the position and save.


2. A template hasn't been created for this position

It's also possible a template hasn't been created for the position.

If you're an administrator or manager, you can add one by heading to the Rota page and clicking the 'Create' button in the top left.

Note

Supervisors cannot create shift templates.
