By default, employees can only see their own rota. If you'd like them to view their colleagues' rota, you can adjust this permission in their profile or update it for multiple employees at once.
Option 1: Allow an employee to view the full Rota
This permission is disabled by default for individual employees.
To update it:
Go to HR > Employees
Select the employee
Click Roles and positions from the sub menu
Scroll down to Colleagues' information
Toggle on 'Enable access'
Set the What can be viewed option
Select which positions can be viewed
Click Save.
Once switched on, the employee will be able to view the published rotas (and leave) of their colleagues.
Tip: Share this employee guide on viewing colleagues' rotas through the News Feed so your team knows how to access this feature.
Option 2: Give access to multiple employees
If you want to give this permission to several employees at once, you can update them in bulk.
Go to HR > Employees
Select the employees you want to update, or use the checkbox at the top of the list to select everyone
Click the Bulk actions drop down at the top
Select Colleague settings
Toggle on Can view the full rota of their colleagues
Select the relevant positions and locations
Click Continue
Type Confirm and click Confirm to save the changes.
This is the quickest way to apply the permission across your organisation.
See who's working at the same time
Even if employees can't view the full rota, they can still see who is working alongside them during their own shifts.
This feature is enabled by default and is managed in Settings by an administrator.
Employees can view their co-workers by:
Opening their Rota
Selecting one of their shifts
Viewing the colleagues scheduled to work at the same time
For more information, refer employees to this guide on viewing colleagues' rotas on the web or mobile app. Sharing this article through the News Feed is a great way to make sure everyone knows how to use the feature.
