Need to adjust when overtime starts being calculated? Administrators can update the organisation's overtime settings to match local regulations, company policies, or working practices.
You can configure overtime based on the number of hours worked per day, per week, or both.
Updating overtime settings
To change your organisation's overtime rules:
Click 'Settings' from your main menu
Select 'General'
Scroll down to the 'Overtime' settings and enter the overtime thresholds you would like to use.
Click 'Save'.
Daily Overtime
Daily overtime determines how many hours an employee can work in a single day before overtime begins.
For example:
Enter 8 hours if overtime should apply after 8 hours worked in a day.
Enter 10 hours if overtime should apply after 10 hours worked in a day.
If your organisation does not use daily overtime, simply enter 24 hours to effectively disable it.
Weekly Overtime
Weekly overtime determines how many hours an employee can work during a week before overtime applies.
For example:
Enter 40 hours if overtime should begin after 40 hours worked in a week.
Enter 35 hours if overtime should begin after 35 hours worked in a week.
Employee-specific overtime rules
The overtime settings above apply to all employees by default.
However, you can override these settings for individual employees within their profile if certain team members follow different overtime rules.
Go to the 'HR' tab
Click on 'Employees'
Choose the employee for whom you want to change the setting
Go to their profile's settings
Enable 'Override the organizations's overtime settings'
Employee-specific settings will always take priority over the organisation-wide settings.
Multi-level overtime
Need more complex overtime calculations?
Rota & Time Clock also supports multi-level overtime, allowing you to apply different overtime rates at different thresholds.
For example:
Overtime Rate 1 after 40 hours
Overtime Rate 2 after 48 hours
See our guide on multi-level overtime for more information.
Important: Updates to existing timesheets
When you change overtime settings, the update applies to both future and existing timesheets.
This means previously recorded hours will be recalculated using the new rules.
After making changes, refresh your view to ensure you can see any updates to historical records.
