Understanding overtime calculations

My employee's overtime is not calculated correctly?

If the overtime shown in Rota & Time Clock doesn't match what you're expecting, don't panic! In most cases, the difference comes down to how overtime is configured.

This guide explains how overtime is calculated, what settings to check and how to trigger a recalculation if you've recently made changes.


How overtime is calculated

Rota & Time Clock can calculate overtime based on:

  • Daily overtime (hours worked in a single day)

  • Weekly overtime (hours worked across a week)

You can use either method, or both together.

For example:

  • Daily overtime after 8 hours per day

  • Weekly overtime after 40 hours per week

The system will calculate overtime according to the rules you've configured.

Daily Overtime

If an employee exceeds the daily overtime threshold, those extra hours will be marked as overtime on that specific day.

Weekly Overtime

If an employee exceeds the weekly overtime threshold, overtime is allocated to the final day of the week where the threshold is reached.

This means it's normal to see overtime appearing on the last day of the week rather than being spread across multiple days.


Check your overtime settings

If the overtime calculation still doesn't look right, the first thing to do is check your overtime settings.

It's also worth checking that your rota period matches the way your organisation calculates overtime, as this can affect the results.

To review your organisation-wide overtime settings:

  1. Go to Settings from the main menu

  2. Select General

  3. Find the Overtime section.

Check that:

  • Your daily overtime threshold is correct.

  • Your weekly overtime threshold is correct.

  • Any overtime calculation options are configured as expected.

Using a two-week pay period?

Some organisations calculate overtime separately for each week, while others calculate it across the entire pay period.

If your organisation uses a bi-weekly pay period, make sure the overtime settings reflect how overtime should be calculated:

Employee Overtime Settings

Employees can also have their own overtime settings that override the organisation defaults.

To check:

  1. Open the employee's profile and select 'Settings'

  2. Look for any overtime overrides that have been enabled.

If an override exists, those settings will take priority over the organisation-wide rules.


Recalculating overtime

If you've recently changed overtime settings, existing timesheets won't automatically recalculate.

To force a recalculation:

  1. Open the employee's timesheet.

  2. Make a small change to any entry (for example, add one minute).

  3. Save the change.

  4. Revert the change if required and save again.

This will trigger a fresh overtime calculation using the latest settings.
