What is multi-tiered overtime?
Multi-tiered overtime allows you to create more than one overtime threshold, also know as over time bands.
This is useful if your organisation pays different overtime rates depending on how many extra hours an employee has worked.
For example:
Hours over 40 per week = Overtime Level 1 (Eg. Time-and-a-half)
Hours over 48 per week = Overtime Level 2 (Eg. Double time)
Each overtime level can have its own pay rate, multiplier, or worked-hours bank calculation.
Setting up multi-tiered overtime
You can configure multi-tiered overtime for your entire organisation or customise it for individual employees.
Organisation-wide settings
To set up a second overtime level/band for everyone:
Go to 'Settings'
Select 'General'
Find the 'Overtime' section and click 'Add Level'.
Enter the overtime threshold for Level 2.
Click 'Save'.
Employee-specific settings
If certain employees follow different overtime rules, you can set custom overtime thresholds just for them.
Go to HR > Employees
Select the employee
Open their 'Settings' page
Enable 'Override the organisation's overtime settings'.
Enter the overtime thresholds that apply to that employee.
Save your changes.
Employee-specific settings will override the organisation-wide settings.
Assigning hourly rates to overtime levels
You can assign different hourly rates to each overtime level.
For example:
Standard rate: £15/hour
Overtime Level 1: £23/hour
Overtime Level 2: £30/hour
This helps provide more accurate labour cost calculations, budget management and payroll reporting.
For existing employees
Open the employee's profile
Go to 'Remuneration'
Enter the appropriate rate for each overtime level.
When creating new employees
You can also configure overtime rates while creating a new employee profile.
Viewing multi-tiered overtime in the Rota
To see a breakdown of regular hours and overtime hours:
Go to the 'Rota'
Hover over the hours total displayed beneath an employee's name.
You'll see how many hours fall into:
Regular Hours
Overtime Level 1
Overtime Level 2
Viewing multi-tiered overtime in timesheets
Payroll summary
Go to Attendance > Payroll.
Overtime hours will be displayed in separate columns:
OT1 (Overtime Level 1)
OT2 (Overtime Level 2)
Employee timesheets
Open an employee's timesheet to see exactly which hours have been allocated to each overtime level.
Using multi-tiered overtime with your TOIL bank
If you're using a time in lieu bank, you can apply different multipliers to each overtime level.
For example:
Level 1 overtime adds hours at 1.5x
Level 2 overtime adds hours at 2x
You can configure separate multipliers for each overtime level when setting up the bank.
Banking overtime hours
If you're using auto-adjust to bank hours, the correct multiplier will be applied automatically based on the employee's overtime level.
Payroll report
When exporting payroll data, overtime levels are clearly separated so you can easily identify them. The export will include:
Overtime 1
Overtime 2
This makes it easy to distinguish between different overtime rates when processing payroll.
