The Attendance section is where you can review, edit, and approve your employees' timesheets.
To get started, click Attendance from the main menu.
You'll see two ways to view timesheets:
By pay period – View timesheets across a payroll period
By day – View clockings for a specific day
Viewing timesheets by day
The 'By day' view shows all employee clockings for a single day.
This is useful when you want to quickly check who has clocked in, review attendance, or approve entries for a particular date.
You can:
Approve all entries for the day at once by clicking "Approve all"
Approve individual time entries one by one by clicking on the specific time entry
Viewing timesheets by pay period
The 'By pay period' view gives you a complete overview of employee hours for the selected pay period.
To change the pay period:
Click the currently selected date range
Choose the pay period you'd like to view
Reviewing employee timesheets
If you see coloured indicators next to an employee's name, it means their timesheet requires attention. This could mean:
Hours need approving
There are alerts to review
Changes may need to be made before payroll is processed
To view the full timesheet, simply click on the employee's name.
Approving a timesheet
Once you've reviewed a timesheet, you can approve it.
If no changes are needed, click "Approve all" in the top-right corner to approve all outstanding entries at once.
Editing time entries
Need to make a correction? Simply click on the time entry you'd like to update.
From there, you can:
Add a time entry
Useful when an employee forgets to clock in or out and you need to add the missing hours manually. You can also choose to use scheduled hours by clicking "Apply all":
Please note that the "apply all" option is only available if a shift was published. If there was no shift in the rota, you can manually input the start and end times and any other relevant informations like paid or unpaid breaks.
Edit clock-in and clock-out times and breaks
You can adjust start and finish times by:
Selecting a time from the dropdown menu
Typing the time directly into the field
Tip: Click "Log" to view the history of changes made to a time entry.
How to tell if a timesheet has been approved
Once a timesheet has been approved, you'll see a checkmark in the top-left corner of the timesheet.
Understanding alerts
You may notice alerts appearing on timesheets from time to time.
Some alerts are blocking, meaning they must be resolved before approval.
Others are non-blocking, meaning they're simply informational and can be reviewed or ignored if appropriate.
The alerts will always be explained if you hover your cursor over the triangle icon. The meaning of the alerts also appear at the bottom of the timesheet.
