Why can't I approve an employee's hours?

If you're trying to approve an employee's timesheet but can't, don't worry - there's usually a simple explanation.

Here are the most common reasons why a time entry may not be available for approval.


The time entry has already been approved

Time entries that are waiting for approval are highlighted and display an 'Unapproved' alert.

If the time entry is no longer showing as unapproved, it's most likely that someone has already approved it.

To check:

  1. Click on the time entry

  2. Open the Log

  3. Review the activity history to see who approved it and when.


The time entry was added manually

If a manager, supervisor, or administrator manually creates a time entry on behalf of an employee, it is automatically approved when it's created.

Because it's already approved, there's no need to approve it again.

You can identify manually created entries by looking for the 'Created by' label within the time entry's Log.


The time entry was approved automatically

Your organisation may be using automatic approvals.

When enabled, time entries that fall within the allowed variance from the scheduled shift are approved automatically by the system.

For example, if an employee clocks in or out a few minutes earlier or later than scheduled, the entry may be approved automatically without requiring any action from a manager.

In this case, the time entry will already be approved and won't be available for manual approval.
