Holiday hours in Rota & Time Clock are calculated and displayed in a few different ways depending on where you're viewing them.
This guide explains how holiday hours are shown in the system, why they may sometimes appear as zero, and what needs to happen before holiday hours can be calculated correctly.
How holiday hours are displayed
In Rota & Time Clock
Within the app, holiday hours are displayed in an hours and minutes format.
For example:
10h 37m
This makes it easy to review and approve employee hours at a glance.
In reports
When holiday hours are included in reports, they're converted into decimal hours.
For example:
10h 37m becomes 10.62 hours
This format is commonly used for payroll and reporting purposes, making calculations easier when exporting data to other systems.
š” Don't worry if the numbers look slightly different in a report - they're showing the same amount of time in a different format.
Why are holiday hours showing as zero?
If holiday hours aren't appearing, or are showing as 0, the most common reason is that the employee's timesheet hasn't been fully approved yet.
Holiday hour calculations rely on completed attendance data, so the system needs all relevant timesheet entries to be approved before it can calculate the correct value.
How to fix missing holiday hours
Open the employee's timesheet.
Check for any unapproved entries in the relevant pay period.
Review and approve any outstanding time entries.
Once all required entries are approved, the holiday hours will be calculated automatically.
