Accrual Leave
For each employee, you have the choice of assigning their full year’s annual allowance upfront or on an accrual basis.
Using Timetastic’s accrual system, you set the employee’s annual leave allowance which will accrue incrementally and become available to use on a monthly basis.
Getting set up
The accrual option can be selected when initially adding a new user or it can be switched on for individuals or multiple staff at any time.
To change this setting for an individual just head to USERS from the main menu and click on the relevant employee.
Under the 'Allowance' tab, toggle the accrual system to ‘Yes’ an click ‘Save changes’:
You’ll then see their monthly accrued allowance along with how much has been accrued to date:
This will also be shown in the employee’s Calendar summary:
Updating in bulk
To switch the accrual system on or off for multiple staff at once, tick the boxes on the left hand side or the very top box to select everyone. An 'Options' menu will appear at the top of the page, select ‘Use accrual system’ from the drop down.
Toggle the setting as needed and click ‘Confirm’.
How it works
Employees with an accrued allowance can book time off throughout the year based on the number of days/hours they have accrued up to the date of the booking.
Accrued allowance is calculated as:
(Contractual allowance / Months to be worked in year) * Number of months from year start or employment start, until the month of the booking
Employee’s will get a message if they don’t have enough allowance accrued when booking time off.
Carry forward
Allowance that’s been brought forward from a previous year can be used at any time within the company’s carry forward period.
Time in Lieu
If a staff member has been given TOIL, this can also be used at anytime throughout the leave year it was added.
Overriding accruals
There may be occasions you'll want to allow time off which exceeds an employee’s accrued allowance. This can be done by either the user’s manager, approver or an admin booking in the time off on behalf of the employee.
When they make the request on behalf of the relevant employee, they'll get a warning message, but unlike when the employee tried to book, they can override the warning by clicking 'Confirm'.
