Scheduling settings explained in details

1) Rota display

  1. Rota opening/closing hours

  2. Your rotas’ first day of the week

  3. Show week number

  4. Show weather forecast

  5. Hide empty positions


2) Seniority

  1. Use hours worked instead of hire date to calculate seniority: by default, the date of hire will be used.

  2. Offer open shifts by seniority


3) Shift settings

  1. Default break value: The amount of break given by default when creating a break on a shift.

  2. Grace period for completing tasks

  3. Employees must mark new shifts as seen : Employees will have to confirm shifts once they've been published

  4. End shift time will be hidden from employees

  5. Automatically clock in/out planned training shifts. Shifts must be created as training shifts in the rota


4) Shift transfer requests

Employees can

  1. Offer Shifts : Allows employees to give their shifts to others.

  2. Exchange Shifts : Allows employees to exchange shifts.

Note : Employees can only offer and exchange shifts with employees that also have the position required as well as being available.

5) Approval

  1. Rota manager's approval is required for: shift transfers and availability. If unchecked, transfer and availability requests will not need approval

  2. Availability: number of days required for submitting an availability request

  3. Open shifts must be approved by managers: You can also enable the option that allows employees to apply for an open shift even if there is a rota conflict.


6) Budget

  1. Include on-call shifts in the total hour count : this option will add the shifts under open shifts to the total of hours in the rota

  2. Include training shifts in the total hour count : this option will add the training shifts to the total of hours in the rota

  3. Labour cost objective (%): The ratio of labour/profits you desire to respect. You can check out the labour cost calculator under the rota -> More -> Show projections.

  4. Custom objective: Let's you add a quantity that is divided by the quantity of daily rota hours (ex: 80 estimated clients)


7) Compliance management

This setting allows you to define rest and break periods adapted to the wellbeing of employees, in accordance with current recommendations.

  • Minimum daily rest : daily rest of at least X consecutive hours between two shifts

  • Continuous weekly rest: weekly rest of at least X consecutive hours


8) Rota alerts

Minor employee alerts: manage rota labour laws alert for employees aged 16 or under

This will give you an alert if labour laws are not respected for minors. It is possible to disable the alert until a specific date (i.e. summertime)
