How to make bulk updates to shifts

How to use the 'Select' mode to edit multiple shifts

Need to make the same change to several shifts? Selection mode lets you select multiple shifts and update them all at once.

You can use it to copy or transfer shifts, edit shift details, publish/unpublish shifts, and delete shifts in bulk.


Where to find selection mode

You'll find the Select button in the top-right corner of the Rota, next to the Copy button.

Click it to get started.


Select the shifts you want to change

There are a few ways to select shifts.

Select an individual shift

Click the shift you want to select.

Select all shifts for an employee

Click the box containing the employee's name. This selects all of their shifts.

Select all shifts for a day

Click the day at the top of the rota. This selects all shifts on that day.

Good to know: Selecting an employee or a day won't select recurring shifts. You'll need to select recurring shifts individually.


Make changes in bulk

Once you've selected the shifts you want, you can choose from the available actions:

  • Select all shifts

  • Assign one or more shifts to an employee

  • Edit shift details, such as the position, hours or breaks

  • Copy shifts to another location on the rota

  • Transfer shifts to another employee

  • Publish shifts that are currently in draft

  • Unpublish shifts and return them to draft

  • Delete shifts

When you're finished, click the 'X' to exit selection mode.
