How to send a message to a colleague or manager using Messenger

Why use Messenger?

Messenger is Rota & Time Clock's built-in messaging tool, designed to help your team stay connected without relying on external apps.

It allows employees and managers to communicate directly, keeping conversations organised, secure and easy to access.


Managing who can message who

By default, employees can message other employees within the same location.

If you'd like to change this:

  1. Go to Settings

  2. Select Messenger

  3. Choose the messaging permissions that suit your organisation

  4. Click Save

For example, you can:

  • Prevent employees from messaging each other while still allowing them to contact managers

  • Allow employees to communicate with everyone across the organisation, regardless of location

Note: If you disable Messenger completely, all existing conversations will be permanently deleted. We are not able to restore these messages.


Sending a message

To start a new conversation:

  1. Open Messenger

  2. Click the '+' option

  3. Select one or more people

  4. Send your message

You can create both one-to-one and group conversations.

To create a group chat, simply select multiple people when starting a new conversation.

Note: that you cannot add additional people to an existing one-to-one conversation. If you'd like to include more participants, you'll need to create a new group conversation.


Managing conversations

Click the '...' menu option in the top-right corner of a conversation to:

  • Mute notifications

  • Leave a conversation

  • Add or remove members from a group chat

  • Rename a group conversation


Employee account activation

For employees to use Messenger and appear in contact lists, their accounts must be fully activated.

Employees need to:

  1. Accept their invitation to join Rota & Time Clock

  2. Complete the account activation process from the welcome email

If an account hasn't been activated, some contacts and Messenger features may not be available.


Using filters

Messenger includes filters to help you quickly find the right people.

You can filter employees by:

  • Location

  • Role

  • Position

This makes it easier to start conversations with specific groups of employees.


Editing or deleting messages

Sent a message by mistake? No problem.

To edit a message:

  1. Hover over the message

  2. Click the '...' menu option

  3. Select Edit

You can also delete messages using the same menu option.

Managing permissions

Administrators can set whether employees are able to edit or delete messages by heading to Settings > Messenger.


Using Messenger on mobile

Messenger is also available in the Rota & Time Clock mobile app for employees on both iOS and Android, making it easy to stay connected.
