Rota & Time Clock lets you add tasks to your employees' shifts and track their completion.


Adding tasks to a shift

Here's how to add tasks to a shift:

  1. In your Rota page, select an existing shift or click on "+" to create a new shift

  2. If you're adding a new shift, fill in the details as usual (start and end time, position, etc.).

  3. In the 'Tasks' section, click 'Add'

  4. Name the task

  5. You can enter instructions if needed

  6. There's also the option to set a start time for the task

You can add as many tasks as you need to a shift.


Grace period for marking tasks as complete

If needed, you can allow additional time after a shift has ended for employees to mark their tasks as complete. This can be helpful if they've recently left work but forgotten to update their tasks.

For example, if a shift ends at 5 p.m. and the grace period is set to 30 minutes, the employee can confirm they've completed the tasks up until 5:30 p.m.

After 5:30 p.m., the tasks will still be visible to the employee, but they won't be able to mark them as complete.

To set the grace period:

  1. Head to 'Settings' from the main menu on the left

  2. Click on the 'Scheduling' submenu

  3. Scroll down to 'Shift settings'

  4. Enter the time in the 'Grace period for completed tasks' field

  5. Click on 'Save'


Viewing completed tasks

There are two ways to see whether employees have finished their tasks or not.

1. Checking tasks on the Rota

Once tasks have been added to your employees' published rota, they'll be able to confirm they've been completed - either on their rota, or at any clocking-in/out point or break time.

To see whether your employees have completed their task(s);

  1. Go to the 'Rota' page

  2. The icon at the bottom of the shift will show how many tasks have been finished out of the total amount.

To see more details, click on the shift.

Under the 'Tasks' section you'll see the tasks that haven't been completed yet and below that are the one's marked completed.

2. Checking tasks on the dashboard

You can also see tasks from your dashboard.

  1. Click on the 'Home' menu option

  2. Find the 'Shift tasks' widget

The widget will give you the task completion percentage for the selected day, as well as a shortcut to the Rota and reporting options.


Exporting a task report

You can export a report containing all tasks, completed tasks or uncompleted tasks.

  1. Go to 'Reports' from the main menu on the left

  2. Click the 'Scheduling' option

  3. Select the 'Shift tasks' report

4. Select your report preferences - the date range, location, position and task status

5. Click on 'Export'
