Adding contracted hours to Rota & Time Clock will help you keep track of how many hours an employee is expected to work. Once added to an employee's profile, these hours can be viewed when scheduling shifts, letting you to quickly see whether an employee's under, over, or on track to meet their contracted hours each week.
Contract hours
To switch on the weekly contracted hours option, an administrator can follow these steps:
1. Click on the 'Settings' from the main menu
2. Select 'Human ressources'
3. Click onto the 'People date sub-menu
4. Toggle on 'Weekly contracted hours'
Adding contract hours
Once the above setting has been switched on, you can enter the contract hours of each employee within in their profile.
1. Head to HR > Employees
2. Click the name of the employee
3. Go to their 'Profile'
4. Click the 'Employment' sub-menu
5. Add their weekly contracted hours
6. Click 'Save'
Viewing contract hours in the Rota
When adding shifts to your employee's rota, you'll see the contract details under their name adjust automatically. This shows whether the employee has too many hours in their schedule, or if they're missing any.
If their contracted hours haven't been met, you'll see a warning icon:
If the contract requirements have been met, you'll see this icon and the 'balance' will be at 0h.
Viewing contract hours in timesheets
You'll also be able to see contracted hours on the left hand side of employee's timesheets. This shows the remaining hour balance to meet their contract's requirements.
Note: The "Pay period" is calculated according to the duration of your pay period settings (ie. weekly, biweekly, monthly, etc.).
