Use the availability feature to let your manager know when you'd prefer to work and when you're unavailable.
Before you begin, there are a few things worth knowing:
By default, Rota & Time Clock assumes you're available to work at all times. You only need to add availability preferences (green) or unavailable times (red)
Availability can be set as a one-off change or as a recurring pattern
If you're unavailable on a specific date, it's usually better to request time off rather than update your availability
If you're using the web version of Rota & Time Clock, please refer to this guide.
Add your availability
To update your availability:
Tap Home in the bottom-left corner
Tap your initials or profile picture in the top-right corner
Select My Availability
Choose the first week you'd like to update
Tap Add availability
To add availability or unavailability:
Tap the + next to the relevant date
Choose whether you're adding:
An availability preference
An unavailability
Choose whether it applies:
All day
Specific hours
Select the day or days you want it to apply to.
Note: If your organisation requires advance notice for availability changes, you may see a message preventing changes within a certain timeframe.
Set recurring availability (optional)
Once you've added your availability, tap the 'Change' option to access additional options.
From here you can:
Set your preferred minimum hours per week
Set your preferred maximum hours per week
Choose whether the availability should repeat
Select the repeat frequency
Set an end date for the recurring pattern (if required)
When you're happy with the settings, tap 'Submit for approval'.
Note: If you create a recurring availability without an end date, it will replace any future availability from that point onwards. If you're creating multiple availability patterns, it's best to add them in date order, starting with the earliest.
What happens next?
Once submitted, your availability request (or updates) will be sent to your manager for review.
You'll receive a notification once your request has been approved or declined.
