How to track and report employee absences

Sometimes you might notice that an employee's absence doesn't appear in the Absenteeism report. Don't worry - this is usually down to how the absence was recorded.

Why an absence might not appear

For an absence to show in the Absenteeism report, the employee's timesheet must contain a Missing time entry alert for that shift.

If someone was scheduled to work but didn't attend, leaving the time entry blank will allow the absence to be picked up in the absenteeism report.​

If you've recorded the absence as leave

If you've used a leave type such as Absence, Sick leave, or another leave type, it won't appear in the Absenteeism report.


Instead, you'll need to use the Time entries report.​

How to report on absences recorded as leave

1. Go to Reports

2. Open the Attendance category

3. Select the Time entries report

  • Choose the date range you'd like to review

  • Under Options, tick 'Only show time off'

  • Choose the leave type(s) you want to include (for example, Absence or Sick Leave)

  • Click 'Export'.

This will show all absences that were recorded using leave types.


Best practice

Both methods work perfectly well, but it's a good idea to be consistent with how absences are recorded across your organisation.

If some absences are left as Missing time entries and others are recorded as leave, you'll need to check two different reports to get the full picture. Using one approach consistently will make absence tracking much easier.
