The onboarding feature helps you welcome new employees, collect important information, and introduce them to the right people from day one.
To get started, head to Settings>Human resources>Onboarding form
then Click 'Configure'.
Choose your onboarding process
By default, the same onboarding process is used across your entire organisation.
If different locations need different onboarding content (for example, each location has its own HR contact), you can create a separate onboarding process for each location.
Note: If an employee works at multiple locations, they'll receive the onboarding process for their primary location.
Add a welcome message
The welcome message is the first thing new employees will see when they start onboarding.
Use this space to introduce your organisation, share any important information, and make your new starters feel welcome.
Add an HR contact
Choose the person employees should contact if they have any questions during onboarding.
Their contact details will be available throughout the onboarding process.
Request documents
You can ask employees to upload documents as part of their onboarding, helping you collect everything you need before they start work.
For each document request, you can choose whether uploaded files are:
Automatically filed in your default document structure, or
Filed manually later from the Documents section.
This is useful for collecting things like proof of identity, qualifications, licences, or any other documents you need from new starters.
Request document signatures
You can also ask employees to review and sign documents during onboarding.
This is a simple way to make sure important documents are read and acknowledged before an employee starts work.
For example, you could request signatures for:
Employee handbooks
Company policies
Health and safety information
IT or security policies
Confidentiality agreements
Including signature requests in your onboarding helps keep everything in one place and makes it easier to complete essential paperwork before an employee's first day.
Create custom questions
You can add your own questions to collect extra information from new employees.
For example, you might ask about:
Interests or hobbies
Career goals
Uniform sizes
Anything else you'd like to know before they start
You can add as many questions as you need.
Set a completion deadline
If you'd like employees to complete their onboarding within a certain timeframe, you can enable the Time Limit option and set a deadline.
Preview your onboarding
At any time, you can click 'Preview' in the top-right corner to see exactly what your employees will experience.
Collect employee information
You can use the People Data feature to ask employees to complete their personal and employment information as part of onboarding.
Choose which fields you'd like to include then click the 'Edit' option to set:
Whether the field can be completed by the employee or only by managers.
Whether the field is optional or required.
Available fields are grouped into:
Personal Information
Employment
If you mark a field as Required, employees must complete it before they can finish onboarding.
