Once you've created a time off bank, you can update the balance whenever needed.
Whether you're topping up holiday entitlement, adjusting sick leave balances or resetting a bank entirely, you can make changes for one employee or multiple employees at once.
Updating time off banks in bulk
If you need to update several employees at the same time:
Hover over the 'Time off' menu option
Click 'Banks'
Select the employees you'd like to update using the tickboxes on the left
Choose the relevant year
Click 'Bulk actions'.
You'll then have three options:
Refill hours
Adjust hours
Reset hours
Refill hours
Use Refill hours when you want employees to have a specific balance in a bank.
For example, if you need to re-set a Holiday bank to 24 hours:
An employee with 0 hours will receive 24 hours.
An employee with 10 hours will receive 14 hours.
An employee with 24 hours or more won't be changed.
This is useful when allocating annual leave allowances or topping banks up to a set amount.
Adjust hours
Use Adjust hours when you want to add or remove the same number of hours for everyone selected.
For example, adding 7.5 hours will increase each selected employee's balance by 7.5 hours, regardless of how many hours they currently have.
You can also enter a negative value to reduce balances.
Reset Hours
Use Reset hours to clear a bank completely.
This will set the selected employees' balances back to 0 hours.
Updating a single employee's bank
If you only need to adjust one employee's balance:
Go to Time Off > Banks
Click on the employee's name
Select the correct leave bank
Click 'Adjust bank time'
Enter the adjustment and save your changes.
Note: You can also use the bulk actions tool for a single employee by ticking the box against just one person.
