Creating leave types and leave banks

Leave banks let you track things like annual leave, sick leave, TOIL, or any other leave entitlement that employees can build up and use over time.

Before you can create a leave bank, you'll first need a leave type. Each bank is linked to a specific leave type.


Creating a leave type and bank

  1. Go to Settings

  2. Select Time off

  3. Click Leave types and banks

From here you can:

  • Click 'New leave type' to create a brand-new leave type and bank

  • Open an existing leave type if you'd like to set up a bank for it

To create a bank, tick 'Track in a time bank'.

You'll then set:

  • Whether the bank is measured in Hours or Days

  • The bank's Leave year

This is the date the leave type starts and balances reset each year.

Choosing how leave is allocated

There are three ways to add leave to employee banks:

1. Annual allowance

Select this option if your employees receive a set amount of leave each year.

For example:

  • 25 days of annual leave per year

  • 10 days of sick leave per year

The specified balance will automatically be added to employees' banks at the start of the leave year.

You can also choose whether unused leave carries over into the next year.

💡 The default company allowance can be customised for individual employees within their profile.


2. Accrual

Use accrual if leave is earned gradually over time rather than given upfront.

Leave can accumulate:

As a percentage of hours worked

For example:

  • 8% of hours worked added to the leave bank each pay period

As a fixed amount each pay period

For example:

  • 20 days per year

  • Equivalent to approximately 0.77 days added every pay period

Leave is automatically added at the end of each pay period based on the settings you choose.

💡 Accrual settings can also be customised for individual employees if needed.


3. Manual

With manual allocation, leave is only added when you choose to add it.

This option gives you complete control over employee balances and is useful when allowances vary significantly between employees.

Once the bank is created, you can manually adjust balances whenever needed.

Additional settings

Regardless of which allocation method you choose, you'll also have access to these optional settings:

Include in overtime hours

This sets whether leave hours are counted when calculating overtime.

Negative balance alert

Shows a warning if an employee's balance falls below zero.

Hide balance from employees

This prevents employees from being able to see their available balance in their account.


Once your leave type and bank are set up, you'll be able to assign leave, track balances and manage employee entitlements automatically.
